Sending payslips individually, by email, through an HR portal or into each employee’s folder, needs one file per person with a name you can trust. Doing it by hand for a whole payroll run is slow and easy to get wrong, and payslips are among the most confidential documents an organisation holds.

Smart PDF Split & Rename reads the text on each payslip, starts a new file whenever the employee changes, and names each file from values on the page, such as the employee’s name or ID and the pay period.

Step by step

  1. Add the payroll PDF

Add the PDF exported from your payroll software. If it is password-protected, enter the password when asked; it is used only on your device. You can add several PDFs, for example one per department.

  2. Choose the Payslips preset

The preset starts a new file whenever the employee changes. Watching the employee works better than looking for a heading such as “Payslip”, because some payslips run over two pages.

  3. Check the number of payslips found

Compare it with the number of employees in the payroll run. If they differ, open the flagged documents first.

  4. Set the file names

Build the name from values on the payslip, for example {employee} - {period:YYYY-MM}. Writing the period as YYYY-MM makes files sort in date order. Add the employee ID if two people could share a name.

  5. Review and download

Read through the names, correct any by hand, and download the files individually or as a ZIP. Keep the audit report with your payroll records: it lists each payslip’s pages and the values used to name it.

Settings to choose

Recommended settings
SettingWhat to choose
Split ruleThe Payslips preset: a new file when the employee changes. If every payslip is exactly one page, “every 1 page” also works.
Value to watchThe employee ID if your payslips show one; otherwise the employee name.
File name{employee} - {period:YYYY-MM}, or with the employee ID added at the start.
Duplicate namesFlag them for review, so that two employees with the same name are never numbered without you noticing.
OCROnly needed if the payslips were scanned or printed as images. Choose the language they are written in.

Example

A four-page payroll PDF for September 2026 with three employees. The second payslip runs over two pages.

Check before you use the files

  • The same employee twice in a row. If a correction run puts two payslips for the same person next to each other, they end up in one file. The tool flags every such join so you can split it by hand.
  • Employees with the same name. They would get the same file name. Include the employee ID, or keep duplicate names flagged for review.
  • Summary or cover pages. Pages before the first payslip, such as a payroll summary, go into their own file and are flagged, so they aren’t sent to an employee by mistake.
  • The count. The number of files should match the number of employees paid. The audit report lists every file with its pages.
  • Confidentiality. The split files contain the same salary data as the original. Store and send them as carefully as the original, and delete copies you no longer need.

Your files stay on your device

Your PDFs are read, split and named in your browser. They are never uploaded, and your browser blocks the tool page from connecting to the internet or loading anything from other websites. How this works

Questions

Will the split payslips still be password-protected?

If the original PDF has a password, the split files are protected again with the same password to open them and the same permissions by default (you may be asked to choose a new owner password). You can choose unprotected files instead, after confirming.

Does it email the payslips to employees?

No. It creates the files and an audit report on your device. You send them with your own email or HR system; the tool itself never sends anything anywhere.

What if the employee name is in a different place on some payslips?

The tool can read the value next to a label such as “Employee name” or “Employee ID”, wherever it appears on the page. If your payslips have no labels, mark the area of the page where the name appears instead.
